1. Acceptance of Terms

By registering on or using the Special Group Finance platform ("Platform"), you ("Institution" or "User") agree to be bound by these Terms and Conditions. If you do not agree, you must not access or use the Platform.

2. Platform Description

Special Group Finance is a digital loan management platform that facilitates employee financing for registered institutions including companies, SACCOs, NGOs, and associations. The Platform connects institutions, their employees, and loan officers to manage applications, disbursements, and repayments.

3. Institution Registration

Institutions must submit accurate registration details including legal name, registration number, business type, and authorised contact person. All applications are subject to review and approval by the Platform Administrator. Providing false or misleading information is grounds for immediate account suspension.

4. Loan Products & Eligibility

Loan products are configured by the Platform Administrator and may vary by interest rate, tenure, and eligibility requirements. Institutions are responsible for verifying employee eligibility before recommending loan applications. Final approval and disbursement decisions rest with the assigned Loan Officer.

5. User Responsibilities

Users are responsible for maintaining the confidentiality of their login credentials. All actions performed under a user account are the sole responsibility of the account holder. Users must not share accounts or attempt to access areas of the Platform beyond their assigned role permissions.

6. Repayment Obligations

Employees who receive disbursed loans are obligated to repay according to the agreed schedule. Institutions acknowledge their role in facilitating repayment through payroll or agreed deduction mechanisms. Overdue accounts may attract penalty charges as defined in the loan product terms.

7. Data & Privacy

All personal data collected through the Platform is governed by our Privacy Policy. By using the Platform, users consent to the collection and processing of their data as described therein.

8. Limitation of Liability

Special Group Finance provides the Platform on an "as is" basis. We do not guarantee uninterrupted availability and shall not be liable for any indirect, incidental, or consequential damages arising from use of the Platform.

9. Modifications

We reserve the right to update these Terms at any time. Continued use of the Platform after changes constitutes acceptance of the revised Terms.

1. Introduction

Special Group Finance ("we", "us", "our") is committed to protecting the privacy and personal data of all users of our Platform. This Privacy Policy explains what data we collect, how we use it, and your rights.

2. Data We Collect

We collect the following categories of personal data:

• Institution data: Organisation name, registration number, address, business type, and contact person details.
• Employee data: Full name, national ID, phone number, email, department, salary, employment status, and next-of-kin details.
• Account data: Email address, hashed password, role, and last login timestamp.
• Loan data: Application details, approved amounts, disbursement records, repayment schedules, and transaction history.
• Usage data: Login activity, actions performed within the Platform, and audit logs.

3. How We Use Your Data

We use collected data to:

• Process institution registrations and loan applications.
• Verify identity and assess loan eligibility.
• Manage disbursements and repayment tracking.
• Send SMS notifications regarding loan status and repayment reminders.
• Generate reports for administrators and institution officers.
• Maintain audit logs for security and compliance.

4. Data Sharing

We do not sell or rent personal data. We may share data only with authorised parties required to deliver Platform services, including SMS gateway providers for notification delivery. All third parties are bound by confidentiality obligations.

5. Data Security

All data is stored in encrypted databases. Passwords are hashed using industry-standard algorithms and are never stored in plain text. Access to sensitive data is restricted by role-based permissions.

6. Data Retention

Personal data is retained for as long as the account remains active and for a minimum of 7 years after account closure to meet legal and financial record-keeping obligations.

7. Your Rights

You have the right to request access to, correction of, or deletion of your personal data by contacting us. Requests will be processed within 30 days subject to legal retention requirements.

1. Loan Disbursements

Once a loan has been approved and disbursed to the designated account, the disbursement is considered final. Refund requests for disbursed loan amounts must be submitted in writing within 5 business days of disbursement. Approved refunds will be processed within 10 business days via the original disbursement channel.

2. Overpayments

If an employee makes a repayment that exceeds their outstanding loan balance, the excess amount will be credited to their account and applied to future instalments, or refunded upon written request within 30 days.

3. Processing & Administrative Fees

Processing fees and insurance fees charged at the time of loan approval are non-refundable once the loan has been disbursed, regardless of early repayment or cancellation.

4. Cancelled Loan Applications

Loan applications that are cancelled before disbursement carry no fee liability. No refund is due as no fees are charged at the application stage.

5. Disputes

Any repayment dispute must be reported to your Institution Admin or directly to our support team within 14 days of the transaction date. Disputes submitted after this period may not be considered.
